Privacy terms

Hyparmuse manages this website’s accounts, entries, assessment and exhibitions. These terms explain how information is used in those activities. Read the entry rules for project rights and exhibition permissions.

Information collected

Registration and sign-in involve names, email addresses, account identifiers and login sessions. Entries include project titles, credits, disciplines, stages, locations, descriptions, images and supporting documents. Processing records include submission times, versions, receipts, account messages, permission status, assessment and publication records. Provide only information needed to handle the project and remove unrelated personal or confidential information before uploading.

Purposes of use

Information is used to maintain accounts, save and receive entries, check materials and rights, arrange assessment, record decisions, handle account messages and manage publication. Login and operation records support access control, account security and dispute checks. You must have permission to provide information about other creators, team members or collaborators and inform them of the relevant purposes.

Access and public information

Drafts, submitted materials, receipts and account messages are accessed according to permissions. Administrators handle entries and operations. Jurors access their assigned assessment materials; the review workspace does not show entrant account details. Images and documents may themselves identify people, so check them before submitting. Submission does not automatically publish a project. Public display requires checks, publication approval and the relevant permission. Confirmed images, titles, credits, summaries and other exhibition information may become public and may be saved or shared by visitors.

Project rights and exhibition permission

Rights in projects and original materials remain with their rights holders. Submission does not transfer copyright. Exhibition permission is managed separately from account and entry processing; its scope follows the submission confirmation and entry rules. Materials without permission for public display are used for entry handling and assessment checks. To withdraw display permission, identify the project and content concerned. Hyparmuse checks the request and handles subsequent display; withdrawal does not erase existing processing records.

Browser storage and sign-in

Necessary storage supports login sessions, page operation, the first entrance animation state and your privacy choice. Optional storage remembers language preferences only after you allow it. Change your choice through the notice on your first visit or Cookie settings in the footer. Choosing necessary only clears the saved language preference; language switching still works on the current page and future visits default to English. Your privacy choice stays in this browser until you change it or clear storage. Clearing a login session requires signing in again. If browser storage is blocked, your choice may not survive a refresh.

Service providers and external links

Website hosting, information storage and content delivery depend on technical service providers. Messages sent to the contact address are also handled by email service providers. External websites and resources have their own privacy information. Services may involve processing in different regions; this website does not promise storage exclusively in one country. Do not send sensitive identity documents unrelated to your request through the website or email.

Retention principles

Information is retained within the scope needed for account services, entry handling, assessment checks, permitted display, disputes and applicable legal obligations. Retention considers whether the purpose continues, whether a project remains on display, whether requests or disputes are unresolved, and whether traceable records are needed. Submitted versions and receipts are retained for verification. Withdrawal does not automatically delete every record. The website does not automatically clear all information after one fixed number of days; individual deletion requests are checked by Hyparmuse.

Access, correction, withdrawal and deletion

You can view accessible information, receipts and messages in your account and edit projects during permitted stages. After submission is locked, use account messages or the contact address on this page to request access, correction, withdrawal, deletion, account recovery or withdrawal of display permission. Provide the account email, project identifier and specific request. Hyparmuse may verify the account holder or authorized representative. If some information must be retained for assessment records, disputes or legal obligations, the scope and reason will be explained. Requests are handled according to their circumstances and applicable law; sending a request does not complete it automatically.

Security, contact and updates

Account permissions, session management and operation records help protect information, but no online service can guarantee absolute security. Keep sign-in information secure and do not share accounts. Submission receipts and replies remain in your account and are not automatically emailed. The contact address on this page is for personal enquiries and information requests. These terms are updated when services or processing practices change. Material changes are communicated through website announcements or account notices.
